With September quickly approaching, many of us find ourselves preparing to return to the office. A well-organized and efficient workspace is essential for a smooth transition back to work. If it’s cluttered and chaotic, it’s hard to focus and even harder to be productive.

In this blog post, I’m sharing how to organize your desk for an office that’s both aesthetic and tidy. We’ll explore stylish desk essentials, workspace organization ideas, and tips for managing your digital space.

  • Enhance creativity. An organized workspace provides a conducive environment for creative thinking. When your physical space is orderly, your mind is free to explore new ideas and solutions.

  • Save time. With everything in its designated place, you spend less time searching for items or documents. This means more time spent on meaningful tasks and less time wasted on unnecessary searching.

  • Promote well-being. A chaotic and disorganized workspace can contribute to feelings of stress and overwhelm. A tidy and organized setup promotes a sense of calm and control, reducing stress levels and promoting overall well-being.

How to Organize Your Desk

First things first: clear off everything. Yes, everything. Take everything off your desk and start with a clean slate. This includes those pens, documents, coffee mugs, and even your computer. You’ll put everything back in a more organized fashion.

1. Declutter and Purge

Sort through everything you removed and ask yourself: “Do I really need this?” Throw away what’s broken or outdated. Donate or recycle items you haven’t used in ages. Keep only what’s essential. This step will help you understand what desk essentials you truly need and what you can live without.

In the future, set aside dedicated time, perhaps at the end of each week or month, to go through your desk and surrounding area. This practice prevents unnecessary accumulation of clutter and keeps your workspace tidy.

2. Create Zones

Divide your desk into functional zones. Consider the types of tasks you perform and designate specific areas for each. For instance:

  • Work zone. This is where your computer, notebooks, and daily work tools live.

  • Supply zone. Store office organization supplies like pens, paper clips, and sticky notes.

  • Tech zone. This is where you keep electronics like chargers, headphones, hard drives and other electronics.

This strategic approach not only ensures that everything has its place but also streamlines your workflow for better efficiency.

3. Utilize Vertical Space

When desk space is limited, vertical storage solutions become your best friend. Install shelves, wall-mounted organizers, or hanging pockets to make the most of your vertical real estate. These options not only help clear your desk surface but also keep important items—such as reference materials, binders, or files—within arm's reach.

4. Invest in Desk Organizers

Invest in a variety of desk organizers to keep your essentials neatly arranged and easily accessible. Drawer dividers, trays, and containers are excellent tools for grouping similar items together. They prevent pens, stationery, cables, and other small items from becoming a tangled mess and make it a breeze to find what you need quickly.

5. The "Inbox-Outbox" System

To manage the flow of documents and tasks, consider implementing an inbox-outbox system. Designate trays or folders for incoming and outgoing items. This approach helps you stay organized and ensures that tasks don't get lost in the shuffle. Incoming documents can be processed, and completed tasks can be moved to the outbox, making it easy to track your progress and manage your responsibilities.

2. Noise-Canceling Headphones. Stay focused and block out any loud noises with a pair of noise-canceling headphones. These Bose bluetooth headphones are perfect for enjoying music, podcasts, and videos without distractions. I appreciate that they have a built-in microphone, so you can take calls comfortably too.

3. Scented Candle. Make your workspace smell incredible by adding a scented candle to your desk. Try energizing scents like orange, eucalyptus, lemon or grapefruit to help you stay focused throughout your workday. If you're in an office environment, consider a reed diffuser or air freshener spray to maintain a pleasant scent without disrupting others or creating potential hazards.

4. Notebook. Have a notebook or two handy at your desk to plan daily tasks and jot down notes throughout the day. This gorgeous monogrammed notebook would make a sophisticated addition to your desk. You also can’t go wrong with a classic Moleskine journal.

5. Blue Light Glasses. Staring at screens all day can leave your eyes feeling tired. Try a pair of blue light blocking glasses to alleviate eye fatigue and protect your eye health. You can find blue light glasses in a variety of chic designs that suit your personal tastes, but I particularly love the styles from The Book Club.

6. Pens. When it comes to upgrading your desk, don’t forget the small details like pens. Investing in a quality pen or pen set is just one way to elevate your everyday work tasks. For an extra dash of style, search for a signature pen that perfectly complements your personal branding.

7. Laptop Stand. This is one desk essential that anyone with a laptop should own. A laptop stand lifts your device to enhance ergonomics and prevent overheating. Plus, it can help relieve posture-related problems such as muscle strain, or neck and shoulder discomfort as you work.

8. Wireless Charger. Stay powered up throughout your workday with a wireless charger. This practical gadget not only keeps your phone charged but also props it up, so you can easily view your screen and stay up-to-date when you receive new messages.

9. Pencil Pouch or Cup. For an organized workspace, store your writing utensils in a stylish pencil pouch or decorative cup. For a DIY option, you can repurpose old candle jars; ones from luxe brands like Diptyque or Byredo look particularly sophisticated.

10. Catch-All Tray. Organize your bits and bobs with a stylish catch-all tray. It’s perfect for holding your keys, phone, sunglasses, headphones and other items that can easily clutter your desk. Choose one that matches your office aesthetic—I personally love this classic leather option.

11. Vase. Nothing boosts my mood more than fresh flowers. A modest vase filled with your favorite blooms can brighten your day and your desk. You might even make it a weekly ritual to pick up a new bouquet for your workspace as a small treat to yourself.

12. Hand Lotion. Hand lotion is a must for keeping your hands nourished, so why not keep a small tube or bottle at your desk? This L'Occitane Hand Cream is one of my all-time favorites, but if you prefer a more aesthetic option, you can’t go wrong with this Jo Malone Hand Lotion.

13. Desk Lamp. If you work in an office building, the lighting can be less than ideal, especially if your desk doesn’t receive a lot of natural light. A small desk lamp can easily illuminate your space and help you work more effectively.

14. Desk Mat. A desk mat not only protects your desk but also adds some color to your workspace. You can even find options with a smooth surface and use it as a mouse pad.

15. Wireless Mouse. Upgrading from my trackpad to a wireless mouse has completely transformed the way that I work. It makes it so much easier to edit graphics and navigate my computer in general. If you haven't made the switch yet, consider this sleek wireless mouse from Apple.

16. Hourglass. It might seem old-fashioned, but an hourglass is an excellent way to visually track the time and help you tick off items on your to-do list. It’s especially handy if you use the Pomodoro method or similar techniques to manage your time.

17. Art. Art is one of the easiest ways to personalize your workspace. You can shop local artists to find truly unique work, create your own art, or search online for pieces that suit your tastes. Prints, photos and even small sculptures are just a few ways to bring some personality to your desk.

18. Stationery. Stylish stationery is essential for communicating in style. Whether you want to express gratitude, wish a colleague a happy birthday or share some positivity, there are endless occasions to write a handwritten letter.

How to Organize Your Digital Workspace

Don't forget to extend your organization efforts to your digital workspace. Just as physical clutter can hinder productivity, digital clutter can slow down your efficiency on the computer. Here's a 5-step digital organization routine to keep your desktop in order:

1. Declutter and Delete

Regularly declutter your digital files and folders just as you would your physical workspace. Start by going through your documents, downloads, and desktop items. Delete any files that are no longer needed or relevant.

2. Create a Folder Structure

Establish an intuitive folder structure for your remaining documents. It should ideally reflect your workflow and the types of files you frequently work with. For example, you might have folders for "Work Projects," "Personal Documents," "Reference Materials," and "Photos." Subdivide these main folders into more specific subfolders for even finer organization.

3. Name Files Appropriately

Consistently naming your files in a clear way is crucial for easy retrieval. Use meaningful names that give you a quick understanding of the file's contents. For instance, instead of "Document1," opt for something like "Q3SalesReport_FinalDraft." This practice ensures that you can quickly locate files without needing to open multiple documents to identify their content.

4. Regularly Back Up

Maintain a routine for regular backups of your important files. Consider using cloud storage services like Google Drive, Dropbox, or OneDrive to automatically back up your files in real time. This not only protects your files from potential data loss but also keeps your digital workspace clutter-free by freeing up space on your local storage.
